  • Legal details such as parental responsibility and any relevant court orders

About You (Parent/Guardian):

  • Name, home and work contact details

  • Two emergency contacts

  • National Insurance number or Unique Taxpayer Reference (for free childcare applications)

  • Details of any benefits or tax credits (if relevant)

This information is usually collected through our registration form.

Why We Collect This Information

We use this data to:

  • Provide safe, personalised care for your child

  • Communicate with you in emergencies

  • Support your child’s development and well-being

  • Manage any medical or special needs

  • Monitor your child’s progress and share updates with you

  • Process claims for up to 30 hours free childcare (if eligible)

  • Keep you informed about nursery news and services

Photos and videos of your child may be taken for their individual learning record—but only with your consent, which you can withdraw at any time in writing.

We are also legally required to:

  • Share safeguarding concerns

  • Transfer records to your child’s future school

Who We Share Your Information With

  • Our nursery software provider

  • The school or setting your child is moving to

We may also share your data if:

  • We transfer nursery management to another provider

We never sell or share your data with third parties for marketing purposes.

How We Protect Your Data

Your data is stored securely:

  • Digitally in our nursery software (Tapestry), protected by secure logins

  • Physically in locked filing cabinets and secure storage

  • Backup data is stored on a locked external hard drive

Only authorised staff can access your data.

How Long We Keep Your Data

​

  • We keep your child’s personal data for up to 3 years after they leave, or until our next Ofsted inspection.

  • Medication and accident records are kept longer, where legally required.

  • Your child’s learning journey is given to you when they leave.

  • Safeguarding-related records may be kept longer if needed.

Automated Decisions

​

We do not make decisions about your child based solely on automated processes.

 

Your Rights

You have the right to:

  • Access your or your child’s personal data

  • Ask us to correct inaccurate data

  • Request deletion of data we no longer need

  • Ask us to transfer your data to another provider
